The Challenge
Managing over 350 patients daily posed challenges across the practice, from wait times to staff workloads and data accuracy during check-in. Previously, manual data entry and lengthy check-ins of 20–40 minutes created bottlenecks for the practice. Lauren Reese, Administrative Manager at Complete Women’s Care, says, “We wanted to help our patients see their provider faster. Originally, our check-in process was lengthy. Staff had to print out paperwork, patients would fill it out, then our staff would manually enter that information into the computer and get it back to the physician.”
The Solution
Complete Women’s Care implemented Clearwave Registration enabling digital pre-registration and providing patient-led registration kiosks in the office. Patients now complete most tasks—verifying data, making payments and signing in—from home or via kiosks, cutting check-in times by 90%.
Reese highlights, “Now patients can quickly verify and update their information, make payments and get to their doctor within 2 minutes, which has been tremendous for our patients, staff and providers.”
Of the digital process, Reese says, “With the reminders sent out via Clearwave and mobile pre-registration, by the time a patient comes into the office they’ve already answered most of the questions we need, and everything flows directly into our practice management and health record systems.”
Leveraging patient-led registration kiosks has significantly impacted practice revenue. Reese shares, “We have definitely seen an increase in co-pay collections and past-due balances. In our experience, patients are much more likely to use the kiosk to take care of both payments in one fail swoop then they would be with staff.”

Reese notes, “We streamline a lot of tasks for the OB patients, which is great because they return to the office quite a bit. On their initial visit, they complete the majority of their information via pre-check or at the kiosk and make sure their demographics are correct. Then, each visit after that they can use express check-in. When they get to the office, they just verify their information, make sure nothing’s changed and we get them back to their OB.”
Going on Reese notes, “It’s a tremendous time saver for us. Our GYN patients may have more paperwork, but we are able to speed up their check-in, which helps speed up everyone else’s check-in, so no patients are waiting in line.”
When Reese first investigated digital patient self-registration tools and automated eligibility verification, she did her due diligence. Reese focused on a solution that would not just benefit the patients’ experience, but the staff’s as well by removing manual tasks where possible.
She shares, “I was concerned that other patient engagement vendors would not integrate with very well our PMS. If all the information that patients complete digitally is only generated into a PDF, then our staff would still have to manually put that information into our system. That’s not efficient. But with Clearwave, everything is streamlined. All of our patients’ registration information integrates into our PMS, which has been a huge time saver for our staff.”
